1. Vai trò của chúng tôi1. Our role

• Bên kiểm soát dữ liệu: với dữ liệu tài khoản, thanh toán, liên hệ và dữ liệu kỹ thuật của website chatzui.com.Controller: for account, billing, contact and technical data of the chatzui.com website.
• Bên xử lý dữ liệu: với Nội dung của khách hàng (kho kiến thức, việc giao cho Thư ký/phòng ban) và câu hỏi của khách truy cập trên trợ lý khách hàng nhúng vào website của họ — theo chỉ dẫn của khách hàng và Phụ lục xử lý dữ liệu. Với những dữ liệu này, hãy liên hệ trực tiếp doanh nghiệp sở hữu website.Processor: for customers' content (knowledge bases, work given to the Secretary/departments) and visitors' questions on consultants that customers embed on their own websites — on the customer's instructions and under the Data Processing Addendum. For that data, please contact the business that owns the website.

2. Dữ liệu chúng tôi thu thập2. Data we collect

• Tài khoản: email, tên hiển thị, ảnh đại diện, và định danh từ nhà cung cấp đăng nhập (vd Google). Mật khẩu do nhà cung cấp xác thực quản lý ở dạng băm — chúng tôi không thấy mật khẩu của bạn.Account: email, display name, avatar, and the identifier from your sign-in provider (e.g. Google). Passwords are managed in hashed form by our authentication provider — we never see your password.
• Thanh toán: mã thuê bao PayPal, trạng thái, gói, kỳ thanh toán, mã người trả (payer id), ngày dùng thử và ngày gia hạn. Chúng tôi không nhận và không lưu số thẻ hay tài khoản ngân hàng — PayPal xử lý việc đó.Billing: PayPal subscription id, status, plan, billing interval, payer id, trial and renewal dates. We never receive or store card or bank account numbers — PayPal handles them.
• Nội dung của khách hàng: dữ liệu kiến thức, đường dẫn nguồn, tệp và văn bản đưa vào qua MCP, tin nhắn và việc giao cho Thư ký và phòng ban, kết quả đã duyệt.Customer content: knowledge data, source URLs, files and text provided over MCP, messages and work given to the Secretary and departments, approved results.
• Câu hỏi của khách truy cập trợ lý: nội dung câu hỏi và vài lượt chat gần nhất được gửi lên để trả lời; máy chủ của chúng tôi không lưu lại. Lịch sử chat chỉ nằm trong trình duyệt của khách truy cập (30 ngày).Visitor questions to the consultant: the question and the last few turns are sent to produce an answer; our servers do not store them. Chat history stays only in the visitor's browser (30 days).
• Dữ liệu kỹ thuật: địa chỉ IP, trình duyệt và thông tin yêu cầu, được hạ tầng xử lý để giới hạn tần suất, bảo mật và chống lạm dụng; không dùng để lập hồ sơ cá nhân.Technical data: IP address, browser and request metadata, processed by our infrastructure for rate limiting, security and abuse prevention; not used for profiling.
• Bảo mật và sử dụng: bản băm SHA-256 và 4 ký tự cuối của MCP token; bộ đếm lượt dùng thử theo ngành.Security and usage: the SHA-256 hash and last 4 characters of your MCP token; trial usage counters per sector.
• Liên lạc: nội dung email và tin nhắn bạn gửi cho chúng tôi.Communications: emails and messages you send us.

3. Mục đích và cơ sở pháp lý3. Purposes and legal bases

• Cung cấp Dịch vụ, tài khoản, gói và hỗ trợ — thực hiện hợp đồng với bạn.Providing the Service, accounts, Plans and support — performance of our contract with you.
• Bảo mật, chống gian lận và lạm dụng, thực thi giới hạn sử dụng — lợi ích hợp pháp.Security, fraud and abuse prevention, enforcing usage limits — legitimate interests.
• Kế toán, thuế, hoá đơn và yêu cầu của cơ quan có thẩm quyền — nghĩa vụ pháp lý.Accounting, tax, invoicing and requests from competent authorities — legal obligation.
• Email giao dịch (token MCP, thanh toán, thay đổi điều khoản) là cần thiết cho Dịch vụ. Chúng tôi chỉ gửi email tiếp thị khi có sự đồng ý của bạn, và bạn có thể rút lại bất cứ lúc nào.Transactional emails (MCP token, billing, changes to terms) are needed for the Service. We send marketing email only with your consent, which you can withdraw at any time.
• Khi pháp luật yêu cầu sự đồng ý (ví dụ theo pháp luật Việt Nam), chúng tôi xử lý dựa trên sự đồng ý bạn đưa ra khi tạo tài khoản hoặc sử dụng tính năng liên quan.Where the law requires consent (for example under Vietnamese law), we process on the basis of the consent you give when creating an account or using the relevant feature.

4. Xử lý bằng AI4. AI processing

Để trả lời, tìm kiếm và thực hiện công việc, Nội dung của khách hàng và câu hỏi của khách truy cập được gửi tới các nhà cung cấp mô hình AI liệt kê ở mục 5. Chúng tôi không dùng dữ liệu của bạn để huấn luyện mô hình của riêng chúng tôi. Mỗi nhà cung cấp xử lý dữ liệu theo điều khoản của họ; một số mô hình — đặc biệt các mô hình miễn phí được định tuyến qua OpenRouter — có thể được nhà cung cấp ghi log hoặc dùng dữ liệu đầu vào theo chính sách riêng của họ. Đừng đưa vào Dịch vụ dữ liệu nhạy cảm (sức khoẻ, số tài khoản tài chính, giấy tờ tuỳ thân, dữ liệu trẻ em…) trừ khi thật cần thiết và có cơ sở pháp lý.To answer, search and do work, customer content and visitor questions are sent to the AI model providers listed in section 5. We do not use your data to train models of our own. Each provider processes data under its own terms; some models — in particular free models routed through OpenRouter — may have their inputs logged or used by their provider under its own policy. Do not put sensitive data (health, financial account numbers, identity documents, children's data…) into the Service unless it is truly necessary and you have a lawful basis.

5. Chia sẻ dữ liệu và bên xử lý phụ5. Sharing and sub-processors

Chúng tôi không bán dữ liệu cá nhân và không chia sẻ để quảng cáo nhắm mục tiêu. Dữ liệu chỉ được chia sẻ với các bên xử lý phụ dưới đây ở mức cần thiết để vận hành Dịch vụ:We do not sell personal data and do not share it for targeted advertising. Data is shared only with the sub-processors below, to the extent needed to run the Service:

• Cloudflare — chạy máy chủ ứng dụng, cơ sở dữ liệu, chỉ mục tìm kiếm vector, tạo văn bản và embedding (Workers AI), giới hạn tần suất.Cloudflare — application servers, databases, vector search index, text generation and embeddings (Workers AI), rate limiting.
• Supabase — xác thực và hồ sơ tài khoản; Google khi bạn chọn đăng nhập bằng Google.Supabase — authentication and account profiles; Google when you choose to sign in with Google.
• PayPal — thanh toán thuê bao.PayPal — subscription payments.
• Resend — gửi email giao dịch.Resend — transactional email delivery.
• Nhà cung cấp mô hình AI: OpenRouter (và các nhà cung cấp mô hình mà OpenRouter định tuyến tới), NVIDIA — tạo văn bản; Cloudflare Workers AI — tạo hình ảnh.AI model providers: OpenRouter (and the model providers it routes to), NVIDIA — text generation; Cloudflare Workers AI — image generation.
• Nhà cung cấp lưu trữ và CDN cho website tĩnh.The hosting and CDN provider of the static website.

Chúng tôi cũng có thể tiết lộ dữ liệu khi pháp luật hoặc cơ quan có thẩm quyền yêu cầu, để bảo vệ quyền và an toàn, hoặc trong giao dịch sáp nhập/mua lại (với cam kết bảo mật tương đương). Danh sách bên xử lý phụ được cập nhật tại trang này.We may also disclose data when required by law or a competent authority, to protect rights and safety, or in a merger/acquisition (under equivalent confidentiality). The sub-processor list is kept up to date on this page.

6. Chuyển dữ liệu ra nước ngoài6. International transfers

Các bên xử lý phụ có thể xử lý dữ liệu tại Hoa Kỳ, Liên minh châu Âu và các quốc gia khác. Khi pháp luật yêu cầu, chúng tôi áp dụng biện pháp bảo vệ phù hợp như Điều khoản hợp đồng mẫu (SCC) của Uỷ ban châu Âu và thoả thuận xử lý dữ liệu với nhà cung cấp, và thực hiện hồ sơ đánh giá tác động chuyển dữ liệu ra nước ngoài theo pháp luật Việt Nam.Sub-processors may process data in the United States, the European Union and other countries. Where the law requires, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses (SCCs) and data processing agreements with providers, and prepare the cross-border transfer impact assessment required by Vietnamese law.

7. Thời gian lưu trữ7. Retention

• Dữ liệu tài khoản: trong suốt thời gian tài khoản tồn tại; xoá khi bạn yêu cầu.Account data: for as long as the account exists; deleted when you ask.
• Nội dung của khách hàng (kho kiến thức, hub): được giữ cả sau khi gói hết hạn để bạn gia hạn là dùng lại ngay; xoá khi bạn yêu cầu.Customer content (knowledge base, hub): kept even after a Plan ends so a renewal picks up where you left off; deleted when you ask.
• Tin nhắn, việc và bàn giao trong nhóm chat Thư ký/phòng ban: tự động xoá vĩnh viễn sau 30 ngày. Kết quả bạn đã duyệt thành kiến thức được giữ như Nội dung của khách hàng.Messages, jobs and handoffs in the Secretary/department group chat: permanently deleted automatically after 30 days. Results you approved into knowledge are kept as customer content.
• Hồ sơ thanh toán: trong thời hạn pháp luật kế toán và thuế yêu cầu.Billing records: for the period required by accounting and tax law.
• Bộ đếm dùng thử: được giữ để thực thi hạn mức dùng thử.Trial counters: kept to enforce trial quotas.
• Lịch sử chat của khách truy cập: chỉ trong trình duyệt của họ, tự xoá sau 30 ngày.Visitor chat history: only in their own browser, cleared after 30 days.
• Yêu cầu xoá được thực hiện trong 30 ngày (hoặc sớm hơn nếu pháp luật yêu cầu); bản sao lưu và log của nhà cung cấp hạ tầng có thể tồn tại thêm một thời gian ngắn trước khi bị ghi đè. Bạn có thể lấy lại nội dung qua các công cụ sẵn có (vd list_knowledge qua MCP) trước khi yêu cầu xoá.Deletion requests are completed within 30 days (or sooner where the law requires); backups and infrastructure provider logs may persist briefly before being overwritten. You can retrieve your content with the available tools (e.g. list_knowledge over MCP) before requesting deletion.

8. Cookie và lưu trữ trên trình duyệt8. Cookies and browser storage

• Cookie giao diện và ngôn ngữ — ghi nhớ chế độ sáng/tối và VI/EN bạn chọn.Theme and language cookies — remember the light/dark mode and VI/EN choice you made.
• Bộ nhớ trình duyệt (localStorage) — phiên đăng nhập, và một mã ngẫu nhiên giúp trợ lý tách lịch sử chat của khách truy cập.Browser storage (localStorage) — your sign-in session, and a random id that lets the consultant keep a visitor's chat history apart.
• IndexedDB — lịch sử chat với trợ lý, chỉ trên thiết bị của bạn, 30 ngày.IndexedDB — chat history with the consultant, only on your device, 30 days.
• Chúng tôi không dùng cookie phân tích hay quảng cáo. PayPal và Google có thể đặt cookie riêng khi bạn thanh toán hoặc đăng nhập qua họ.We do not use analytics or advertising cookies. PayPal and Google may set their own cookies when you pay or sign in through them.

9. Bảo mật9. Security

Biện pháp gồm: mã hoá đường truyền (HTTPS/TLS); kho kiến thức tách riêng theo từng khách hàng, tìm kiếm vector trong không gian riêng; token chỉ lưu dạng băm SHA-256 và cấp lại là vô hiệu ngay; prompt và quy trình chỉ chạy ở máy chủ; phân quyền truy cập theo vai trò. Không hệ thống nào an toàn tuyệt đối. Khi xảy ra sự cố lộ lọt dữ liệu cá nhân, chúng tôi thông báo cho khách hàng bị ảnh hưởng không chậm trễ và cho cơ quan có thẩm quyền trong thời hạn pháp luật yêu cầu (vd 72 giờ khi áp dụng).Measures include: encryption in transit (HTTPS/TLS); each customer's knowledge walled off, with vector search in its own namespace; tokens stored only as SHA-256 hashes and invalidated at once on reissue; prompts and processes running server-side only; role-based access control. No system is perfectly secure. If a personal data breach occurs, we notify affected customers without undue delay and the competent authorities within the time the law requires (e.g. 72 hours where applicable).

10. Quyền của bạn10. Your rights

Tuỳ nơi bạn cư trú, bạn có quyền được biết, truy cập, chỉnh sửa, xoá, hạn chế hoặc phản đối việc xử lý, nhận bản sao dữ liệu (di chuyển dữ liệu), rút lại sự đồng ý, và khiếu nại. Gửi yêu cầu tới dung.pham@goldenkey-software.com; chúng tôi có thể cần xác minh danh tính và sẽ trả lời trong 30 ngày, hoặc sớm hơn nếu pháp luật yêu cầu. Rút lại sự đồng ý không ảnh hưởng tới việc xử lý trước đó, nhưng có thể khiến một số tính năng không dùng được.Depending on where you live, you have the right to be informed, to access, correct and delete your data, to restrict or object to processing, to receive a copy (portability), to withdraw consent, and to complain. Send requests to dung.pham@goldenkey-software.com; we may need to verify your identity and will respond within 30 days, or sooner where the law requires. Withdrawing consent does not affect earlier processing but may make some features unavailable.

• Liên minh châu Âu / Vương quốc Anh (GDPR, UK GDPR): bạn có quyền khiếu nại tới cơ quan giám sát bảo vệ dữ liệu nơi bạn cư trú.European Union / United Kingdom (GDPR, UK GDPR): you may lodge a complaint with the data protection supervisory authority where you live.
• Hoa Kỳ, gồm California (CCPA/CPRA): bạn có quyền biết, xoá và sửa thông tin cá nhân, và không bị phân biệt đối xử khi thực hiện quyền. Chúng tôi không "bán" hay "chia sẻ" thông tin cá nhân theo nghĩa của luật này. Bạn có thể uỷ quyền cho người đại diện gửi yêu cầu.United States, including California (CCPA/CPRA): you have the right to know, delete and correct personal information, and not to be discriminated against for exercising these rights. We do not "sell" or "share" personal information as those terms are defined. You may use an authorised agent to make requests.
• Việt Nam (Luật Bảo vệ dữ liệu cá nhân và văn bản hướng dẫn): bạn có các quyền của chủ thể dữ liệu theo luật, gồm được biết, đồng ý và rút lại đồng ý, truy cập, chỉnh sửa, xoá, hạn chế, phản đối xử lý, khiếu nại, tố cáo, khởi kiện và yêu cầu bồi thường. Chúng tôi thực hiện yêu cầu trong thời hạn luật định và có thể khiếu nại tới cơ quan chuyên trách bảo vệ dữ liệu cá nhân thuộc Bộ Công an.Vietnam (Law on Personal Data Protection and its guiding regulations): you have the data-subject rights under the law, including to be informed, to consent and withdraw consent, to access, correct, delete and restrict data, to object to processing, to complain, to denounce, to sue and to claim compensation. We act on requests within the statutory time limits, and you may complain to the personal data protection authority under the Ministry of Public Security.

11. Trẻ em11. Children

Dịch vụ dành cho doanh nghiệp và người từ 18 tuổi trở lên, không hướng tới trẻ em. Chúng tôi không cố ý thu thập dữ liệu của trẻ em; nếu phát hiện, chúng tôi sẽ xoá.The Service is for businesses and people aged 18 or over and is not directed at children. We do not knowingly collect children's data; if we find any, we delete it.

12. Khách truy cập trợ lý trên website khác12. Visitors of consultants on other websites

Nếu bạn trò chuyện với một trợ lý svc-aide trên website của doanh nghiệp khác, doanh nghiệp đó quyết định trợ lý trả lời từ dữ liệu nào và chịu trách nhiệm về quyền riêng tư của bạn. Yêu cầu về dữ liệu của bạn nên gửi tới doanh nghiệp đó; nếu bạn gửi cho chúng tôi, chúng tôi sẽ chuyển tiếp tới họ.If you chat with an svc-aide consultant on another business's website, that business decides what data the consultant answers from and is responsible for your privacy. Please send data requests to that business; if you send them to us, we will forward them.

13. Thay đổi chính sách13. Changes to this policy

Khi có thay đổi quan trọng, chúng tôi thông báo qua email hoặc trên Dịch vụ trước khi có hiệu lực. Ngày hiệu lực ghi ở cuối trang.For material changes we notify you by email or within the Service before they take effect. The effective date is shown at the end of the page.
